Deliverability without hiring an SDR ops person

Inbox placement is the quiet reason outbound programs fail. Most of it is seven decisions made once, correctly — not a full-time job. Here is the checklist, and which tools cover each step.

  1. 01

    Send from a separate domain

Use a lookalike domain for cold outreach so a reputation problem never touches invoices, support or renewals on your primary domain.

A tooling decision, not a tool feature — do this before buying anything.

  2. 02

    Get authentication right

SPF, DKIM and DMARC on every sending domain. Most placement problems on small teams trace back to a record that was never finished.

All four tools document setup; Instantly and Amplemarket surface misconfiguration most clearly.

  3. 03

    Warm up before volume

New domains and mailboxes need weeks of gradual, replied-to sending before real campaigns. Skipping this is the single most common self-inflicted wound.

Instantly's core strength; Amplemarket includes warmup in-platform.

  4. 04

    Cap daily volume per mailbox

Conservative per-mailbox limits beat aggressive ones every time. More mailboxes at low volume, not one mailbox at high volume.

Instantly is built around inbox rotation; others expose per-mailbox caps.

  5. 05

    Verify before you send

Bounce rate is a reputation signal. Verify at send time, not at list-build time — contacts go stale within weeks.

Amplemarket and Apollo.io verify inside the platform; Instantly and Reply.io usually pair with a data source.

  6. 06

Check spam placement, not just opens

Open tracking hides the failure mode that matters. Run seed-list spam tests against the actual template you are about to send.

Spam checks ship with Instantly and Amplemarket; thinner elsewhere.

  7. 07

Watch reply quality, not reply count

Rising negative replies and spam complaints predict a placement collapse weeks before your open rate does. Review them weekly — it takes ten minutes.

A habit, not a purchase. Put it in one person's calendar.

Tool notes reflect each vendor's publicly described feature set at the time of writing and are descriptive, not a ranking. Verify specifics with the vendor.

Bundled or specialist?

If deliverability is your only gap, a specialist like Instantly is the cheaper, sharper answer. If you are also buying data and a sequencer this quarter, bundling those jobs into one platform such as Amplemarket usually costs less total attention — one place to check domain health, one place to send. Neither is automatically better; it depends on how many other tools you are already paying for.

Narrowed it down? Trial before you commit

Every tool here looks similar in a feature grid. Run two of them against the same 50 target accounts for a week — data accuracy and reply quality separate them fast.
